Business events

A business event is a company’s conversation with specific people: the industry, the press, partners, people seeing a new product for the first time. Who you are talking to and what about determines the format, and the format determines everything else: the venue, the program, the equipment, the guest list. We help you choose the format and organize business events, from the first estimate to welcoming guests at the door.

We have worked from Almaty since 2015. Our business events have taken place in Almaty, Turkestan and Ashgabat, and our clients include Visa, Kcell and Halyk.

Start with the goal

Companies hold business events for one of five goals. Find yours: under each one, you will see the format and a link to a detailed page.

  • Bring the industry together around a topic

A conference, forum or summit. This works when the industry shares an agenda and needs a stage. Our examples are the Halyk OIY Tech IT conference and the Kcell Eurasian Mobile Summit, where ROI Group was the organizer.

    Conferences, forums and summits

  • Share news with the press

A press conference or press tour. A press release is not enough for a journalist: they need a story they can see and film. For the Kcell 5G launch in Turkestan, we put together a program for journalists and bloggers from three cities in Kazakhstan.

    Press conferences and press tours

  • Show a product or technology

A presentation or launch. Technology is easier to understand when you can see it at work. In the same Turkestan project, 5G was demonstrated in three steps: a virtual flight over the city, a presentation at Karavan Saray, and a finale on the roof of Farab Library, next to the installed equipment.

    Product presentations and launches

  • Thank your partners

A client or partner event: year-end results, networking, awards. This is how Visa Day works, Visa’s annual meeting with banks and partners. In 2024, we held it at the Abai Opera and Ballet Theatre and built the evening around the Seasons theme, from the hall decor to the award ceremony.

    Client and partner events

  • Hold an event in another country

An international business event. Besides the program, you need to understand the country’s rules and find the right people on the ground. This is how we ran the Visa Forum in Ashgabat: we handled the venue, the business program and the participants, and local contractors worked on site.

If your guests are your employees, see corporate events. If your brand is a partner of someone else’s event and needs its own space there, that is a job for a brand zone: we built one for Visa at the International Finance & Banking Summit in Baku.

All projects

You answer to your guests, we answer for the event

Every business event has people the client answers to: management, partners, customers. Our job is to make sure you have something to show them and do not have to manage the agency every day.

We run the project ourselves: we prepare the concept and budget estimate, select a venue to suit the format and number of guests, coordinate contractors and participants, keep track of the schedule and tell you in advance when we need your decision. Budget decisions and approvals stay with you. If the project requires it, we add seminars and training sessions, an online or hybrid format with streaming, simultaneous interpretation, catering, performers and hosts.

Stage, equipment and structures are entrusted to specialized contractors under our management. A dedicated ROI Group project manager is responsible for delivery. The responsibilities of the parties are set out in the contract. Corporate documents for procurement are available on request.

What drives the budget

The cost of a business event is set by its scale, not by the name of the format. A press tour and a two-day summit across several venues are both business events, but their budgets are not comparable. The budget depends most on the number of guests, halls and stages, the venue, equipment and structures, as well as travel for participants from other cities and countries.

There is no standard price list. We calculate the estimate for the agreed scope of the event. If you have a budget range, we will show what fits within it. When the inputs change, we show how this affects the budget, and only then move on.

Questions about organizing business events

How do you choose the right format for a business event?

The right business event format depends on who the company is talking to and what about. For the industry, it is a conference or summit, such as the Kcell Eurasian Mobile Summit. For the press, it is a press tour, such as the Kcell 5G launch in Turkestan. For partners, it is an evening with an award ceremony, such as Visa Day.

How can procurement vet an event management agency?

To vet ROI Group as an event agency, procurement can start with these details: ROI Group LLP, BIN (business identification number) 151240005397, in business since 2015, member of the Central Asian Advertising Association. The company holds the EcoVadis Silver Medal 2026, an independent sustainability assessment. We work under contract, and corporate documents for procurement are available on request at office@roimedia.kz.

What are the payment terms for organizing a business event?

Payment terms for a business event are set by the contract and depend on the client and the project. We have no single standard: we discuss the payment schedule, including separate costs and contractor payments, together with the budget estimate, before work starts.

What does the client still handle when an agency organizes a business event?

On a business event, budget decisions and approvals stay with the client. We run everything else: the concept and budget estimate, the venue, contractors and participants, the schedule. When we need your decision, we tell you in advance, so you do not have to manage the agency every day.

How do you keep a business event on budget?

To keep a business event on budget, we calculate the estimate for the agreed scope: the number of guests, halls and stages, the venue, equipment and structures, and participant travel. If you have a budget range, we show what fits within it. When the inputs change, we first show how this affects the budget, and only then move on.

Tell us about the event

You do not need to know the format in advance. Tell us who you want to bring together and why, and where and when the event should take place. We will tell you which format fits and where to start with the budget.
