MICE and international business events

In another country, the program and the venue come with extra work that simply does not exist at home. We organize international business events and take that work off your hands.

Our projects have taken place in Turkmenistan, Azerbaijan, Kyrgyzstan and Uzbekistan, and our exhibition projects in Barcelona and Shanghai.

What we mean by MICE

MICE stands for meetings, incentives (incentive trips), conferences and exhibitions. Our main focus is the business side: the event itself and its preparation in another country, including local regulations, contractors, the venue and participants. We also arrange flights, accommodation and transfers, including business trips abroad for your employees: we book them ourselves or through a travel agency, depending on the budget. This could be a forum or conference for your partners, a brand space at an international summit, or participation in an exhibition abroad.

What changes abroad

  • Documents and local regulations

    Participants may need visas, and the event itself may need permits and approvals under local rules. We clarify these first, because the entire preparation schedule depends on them.

  • Contractors on site

    The stage, equipment and build are handled by local specialized contractors. We find, vet and coordinate them, while the concept, budget and project management stay with our team.

  • Equipment across borders

    Not everything can be found locally. We have had to bring equipment across borders both for exhibitions, delivering Kazakhtelecom stands to Spain and China, and for a media facade in Tashkent, where the equipment also had to clear customs.

  • Decisions from a distance

    While decisions are being made in your office, preparation is under way at a venue thousands of kilometers away. We track the deadlines ourselves and remind you of the decisions needed by each date, so the work never stalls. And the project has one person in charge: a dedicated ROI Group project manager is responsible for delivery. The responsibilities of the parties are set out in the contract.

Where we have done this

  • Visa Forum, national cultural program

    A forum in Turkmenistan

    Visa Forum · Ashgabat · November 27, 2024

    Turkmenistan has its own rules for international events, and we built the forum preparation around them. We handled the venue, the business program and work with participants, with local contractors working alongside us on site.

  • Visa at IFBS, guests at the Visa desk

    A brand space at a summit in Azerbaijan

    Visa at the International Finance & Banking Summit · Baku · June 9–10, 2026

    The summit was run by its own organizer, and we were responsible for the Visa space: the concept, building and equipping the zone, coordinating contractors and running the zone on both days. See the brand zones page for how projects like this work.

  • MWC Barcelona, 2017

    Exhibitions in Spain and China

    Kazakhtelecom at Mobile World Congress · Barcelona, Shanghai · 2017–2019

    For three years in a row, Kazakhtelecom took part in Mobile World Congress in Barcelona and Shanghai, five exhibition projects in total. See the exhibition projects page for how we prepare participation in an exhibition abroad.

    An event can also be international because of its audience: we organized the Kcell Eurasian Mobile Summit in Almaty for the technology industry, businesses and international companies. See the conferences page for how a summit like this works.

What the budget depends on

We price each international event for the specific country and brief. The biggest factors are:

  • what to bring and what to source locally: shipping and customs versus local contractors and rentals;
  • the country’s requirements for the event and its participants;
  • how many days our team works in the country: preparation, installation and the event itself;
  • a single event or a series, in one country or several.

We discuss the tax and currency risks of a project in another country before the budget is approved.

Questions about MICE and international business events

What are MICE events, and what do you take on?

MICE stands for meetings, incentives (incentive trips), conferences and exhibitions. On MICE projects, ROI Group is responsible first of all for the business side: the event itself and its preparation in another country. We also arrange flights, accommodation and transfers, booking them ourselves or through a travel agency, depending on the budget.

Which countries have you run international business events in?

ROI Group’s international projects have taken place in Turkmenistan, Azerbaijan, Kyrgyzstan and Uzbekistan, and our exhibition projects in Barcelona and Shanghai. At the Visa Forum in Ashgabat on November 27, 2024, we handled the venue, the business program and the coordination of participants, with local contractors working on site. In Baku in June 2026, we were responsible for the Visa space at a banking summit.

What permits do you need for an event abroad?

The permits for an event abroad depend on the country: participants may need visas, and the event itself may need permits and approvals under local rules. We clarify these first, because the entire preparation schedule depends on them. Give us the country, city and dates, and we will tell you what needs to be checked first.

What drives the budget for an international event, and who accounts for taxes and exchange rates?

The budget for an international event is driven by four things: shipping versus sourcing locally, the country’s requirements, how many days our team works there, and whether it is a single event or a series. We discuss the tax and currency risks of a project in another country before the budget is approved.

How do you ship equipment and stands to an event abroad?

For an event abroad, some equipment is sourced locally and the rest is shipped across the border. We delivered Kazakhtelecom stands to Spain and China, and the equipment for the media facade in Tashkent also had to clear customs. We price the choice between shipping with customs and local contractors with rentals in the budget estimate.

Tell us where the event will take place

Give us the country, city and dates, who you are bringing together and what has already been decided. We will tell you what needs to be clarified first in that country and propose how to split the work between our team and local contractors.
